WORK HISTORY REPORTING FAQ & EMPLOYER TRANSITION WEBINAR SERIES

As part of OP&F’s continued efforts to prepare for the transition to our new pension administration system, tentatively planned for October 2026, we are continuing our communication series to support employer readiness.

We are pleased to share the next resource in this series, the Work History Reporting (WHR) FAQ, which is available on the Employer Knowledge Hub for your reference.

What is Work History Reporting?

WHR builds on the current reporting process and introduces a significantly enhanced, standardized approach for submitting employee payroll activity each reporting period through the Employer Portal. This includes reporting earnings, contributions, hours, and other pay-related details for all active employees.

The WHR FAQ outlines key changes to monthly reporting requirements, including how employers will report workforce activity each reporting period. As a reminder, WHR captures what occurred during each pay period, while Member Data Reporting (MDR) captures member demographic and status updates.

FAQ

1. What is changing with Work History Reporting?

You will still submit Work History Reports each reporting cycle, but in Fall 2026 submissions will be completed through the new Employer Portal. Employers should expect updates to submission methods, data structure, and validations. Including 17 new employment data fields. (see specifications for full details).

2.What submission methods will be available?

Supported submission options will include:

Manual upload (.csv or .xlsx)

Direct entry via the Employer Portal

Automated SFTP submission (.csv) (additional details to come)

3. What do you mean by “updated data structure”?

The updated reporting structure is designed to better support employer reporting needs, including:

Allowance for multiple detail records

Support for data corrections and payroll adjustments

4. What is changing with validations and pay codes?

There will be more than 100 new validations to improve accuracy and reduce follow-up.

14 existing pay codes remain: one new pay code has been added: P – Service Credit Purchase (deductions).

5. Validation messages may be categorized as informational, warning, or fatal:

Informational: Submission will process; the system provides a note to review (no correction

required).

Warning: Submission may be accepted, but the system is flagging something to review.

Fatal: Submission cannot be processed until the issue is corrected. OP&F will provide examples and job aids (including screenshots) in advance of launch.

6. What should employers do now to prepare?

Coordinate with Payroll/ HR/ IT on your preferred submission method (manual upload, portal entry and/or SFTP).

Identify any internal process/system updates needed to support new data field requirements and validation changes.

Start thinking about who needs portal access and who should attend training.

7. When will training and support materials be available and where can I find the specifications?

The Work History Report specifications and sample files are available on the Employer Knowledge Hub.

Training invitations and support resources (job aids, quick reference guides, and topic FAQs) will be shared in advance of launch as dates are finalized.
